Awaiting approval Check Need by Date.

  1. If expired, change status to Delete and submit.
  2. If current,check for Patron Note
    • If relevant (e.g. “vol 2 only”), copy and paste into Borrower’s Notes field
    • If not relevant (e.g. “Thank you!”), go to next step.
    • Change status to Approved – Send and submit.
ILL Review Check Need by Date.

  1. If expired, change status to Delete and submit.  
  2. If not, change status to Cancel and submit.  Patron will get email.
Not received Check Shipped date.

If over a month has elapsed,

  1. Check that item was truly not received – i.e. was not checked out as an OTF without ComCat status change.  
    • If not received, notify lending library item was not received.
    • If item was received, change status in ComCat to Received and submit.
Overdue Check that patron has been receiving overdue notices.  

  1. If items are more than a month overdue, contact patron directly and ask for immediate return – remember ComCat does not allow for renewals!
  2. If patron says item is lost,
    • Contact lending library to see if they prefer replacement copy or fee.
    • Contact patron with lending library’s choice.
    • Have patron bring replacement copy or fee to branch, not lending library.
  3. If patron is unreachable,
    • Contact lending library to report lost item and ask if library prefers replacement copy or fee.
    • Contact shareit@bpl.org to handle transaction.
Retry Check Need by Date.

  1. If expired, change status to Cancel and submit.
  2. If Retry is still current
    • Check if item has current year as publication date and no one is lending.  If so, change status to Cancel and submit.  
    • Check History for reason for Retry, e.g. “Library closed.  Retry after 6/20.”  Proceed accordingly.
    • If no obvious reason for Retry, change to Approve – Send and submit.  
    • If request goes back to Retry, change status to Cancel.  Patron will get an email.
Unfilled Change status to Delete and submit.  

Patron will have already received an email.

 

Lender

Status Action
Overdue Contact borrowing library for return of item.

If borrowing library replies that item was lost, request replacement copy or fee and/or send to shareit@bpl.org to handle transaction.

Returned Check Polaris to see if item was returned.  

  1. If item is IN, go to ComCat and change status to Check in.
  2. If item is out, check who current borrower is.  
    1. If current borrower is not the borrowing library,
      • Note current borrower info.  
      • Change status in ComCat to Check in and submit.  This will check item in on Polaris as well.  
      • Go back to Polaris with current borrower info and re-check item out to patron.
    2. If item is still checked out to borrowing library, check shelf.  
      • If item is there, change status in ComCat to Check in and submit.  
      • If item is not on shelf, contact borrowing library to indicate item never arrived.
